About the Role

Ironclad Defense Works is seeking a Protocol Specialist to support Headquarters Supreme Allied Commander Transformation (HQ SACT) in Norfolk, VA. The selected candidate will be responsible for managing high-profile diplomatic and military engagements, ensuring proper protocol procedures, and coordinating visits, conferences, ceremonies, and events at HQ SACT.

Key Responsibilities

  • Serve as the primary liaison with local authorities for protocol-related matters.

  • Develop and maintain a VIP database.

  • Plan, prepare, and execute conferences, exercises, seminars, ceremonies, and VIP visits.

  • Personally meet and escort visitors and dignitaries, ensuring seamless coordination of their visits.

  • Create and manage Distinguished Visitor (DV) programs, including scheduling, briefing arrangements, accommodations, and transportation.

  • Provide guidance on diplomatic customs, precedence, and etiquette.

  • Support National Day Flag Raising Ceremonies, coordinating Marine Corps and Band support.

  • Maintain a biography database of NATO officials and Distinguished Visitors.

  • Serve as a Subject Matter Expert (SME) on protocol planning software applications.

Essential Qualifications

  • Experience: Minimum of 3 years’ experience in an international military or governmental agency protocol environment.

  • Event Planning: Experience in planning high-level international events such as conferences, exercises, seminars, and ceremonies (NATO experience preferred).

  • Protocol Expertise: Familiarity with NATO Protocol standards.

  • Software Proficiency: Experience with protocol software such as SocialTables, Autocad, Cvent, and Microsoft Access.

  • Education: A college degree or equivalent military/professional experience (5+ years) in a protocol or diplomatic environment.

  • Communication Skills: Strong organizational and interpersonal skills with the ability to manage complex schedules.

Additional Requirements

  • Security Clearance: Active Secret (or higher) clearance.

  • Language Proficiency: Fluent in English (written and oral). French proficiency is preferred.

  • Travel: Valid NATO Nation passport with no travel restrictions.

  • Professional Training: Completion of a NATO Protocol Course (within six months of hire).

  • Flexibility: Ability to work outside normal hours, including weekends and evenings on short notice.

  • Experience with Flag Officers: Previous experience working with Flag/General Officers or equivalent is highly desirable.
